Rounding: money to whole dollars in the results, cents in the math above. Rates to one decimal. Formula 5 is the same measure as “refilled spots divided by late cancels” in the refill more late-cancelled spots before class playbook.
This is the value of spots that sat empty. When a member on a pack or membership no-shows, you may already have their money. The number shows what that spot could have earned from someone else, which is most real in classes that were full or had a waitlist.
WORKED EXAMPLE
Worked example (example numbers, not a benchmark)
Example studio numbers for one month:
- Late cancels L = 24, no-shows N = 12
- Late-cancel spots refilled RL = 10, no-show spots refilled RN = 2
- Revenue per spot P = $22 (example: $13,200 class revenue / 600 visits)
- Fees collected F = $120
- Booked spots B = 600, classes run C = 80
The math:
- Spots lost: 24 + 12 = 36
- Spots refilled: 10 + 2 = 12
- Stayed empty: (24 - 10) + (12 - 2) = 24
- Refill rate: 12 / 36 = 33.3%. Late-cancel refill rate: 10 / 24 = 41.7%
- Value at risk: 36 x $22 = $792
- Value recovered: 12 x $22 = $264
- Empty-spot value: 24 x $22 = $528
- Net monthly cost: $528 - $120 = $408
- If every month looked like this: $408 x 12 = $4,896 a year
- Per class: $408 / 80 = $5.10
- Late-cancel rate: 24 / 600 = 4.0%. No-show rate: 12 / 600 = 2.0%

about the math.
How do I calculate my studio’s no-show rate?+
Divide last month’s no-shows by total booked spots, then multiply by 100. 12 no-shows out of 600 booked spots is 2.0%. Enter your booked spots above and the calculator does it for you.
What’s the difference between a late cancel and a no-show?+
A late cancel is a member who cancels inside your cancellation window. A no-show never cancels and doesn’t come. Keep them separate, because a late cancel still gives you a little time to offer the spot to the waitlist and a no-show usually doesn’t.
Is this money I actually lost?+
It’s the value of spots that sat empty. If a member on a pack or membership no-shows, you may already have been paid. The number shows what that spot could have earned from someone else, which matters most in classes that were full or had a waitlist.
Should I count waived fees?+
No. Enter only fees you actually charged and collected. If you waive a lot of fees, the gap between your empty-spot value and your fees shows you what the waivers cost.
How much should I charge for a late-cancel or no-show fee?+
