How to write a waitlist policy members understand
(so the desk stops arguing)

If waitlist disputes keep landing on you, write a policy members can read before they book: how they join and leave, when a spot is offered, how long they have to claim it, what happens overnight, and which late-cancel rules apply once they take the spot. WHAT THE POLICY IS FOR

Fair order, full rooms,
fewer arguments.

A waitlist policy has three jobs. Members trust that their place in line is real. Open spots fill before class starts. And when someone disputes a promotion, you point to the posted rule instead of renegotiating it in a text thread.

The rest of the policy depends on this choice, so settle it before you write anything else.

  • Auto-enroll: when a spot opens, the next person is booked and has to cancel if they cannot make it.
  • Offer and claim: the next person gets a held spot and a set window to take it. If they pass or run out the clock, it moves down the list.

Auto-enroll can fill a spot faster, and it can also charge someone who never saw the message. Offer and claim is easier to defend at the counter, because nobody lands in a class they did not confirm.

SECTIONS TO WRITE

Six parts members
should find in writing.

  • Joining and leaving. Where they join, how they leave, and that leaving is their job when plans change.
  • List order. Join order, or any priority (members ahead of drop-ins, for example) stated up front.
  • The claim window. How long a held spot waits before it moves to the next name.
  • Overnight and early classes. What happens when a spot opens at 11pm for a 6am class.
  • After they take the spot. Your regular late-cancel and no-show rules apply, or the exceptions you choose.
  • Equipment caps. Reformer, bike, or mat-count classes where one spot is one machine.

CLAIM WINDOWS

Size the window to
how close class is.

A flat window breaks at the edges. Two hours to claim is fair the day before and useless 45 minutes before class.

A sliding rule holds up better: a longer window when the spot opens well ahead, a short one in the last few hours, and a cutoff after which the spot stays open for walk-ins. Write the numbers as plain times. “Promptly” and “as soon as possible” start arguments.

For early classes, say what happens overnight. Either the offer waits until a set morning time, or the window runs while people sleep and the spot moves on. Either one is fair if it was written down before they joined the list.

  • Join the waitlist for a full class in [your account / the booking page]. You can leave the list at any time, and please do if your plans change.
  • When a spot opens, the next person on the list [is booked automatically / is sent an offer holding the spot].
  • A held spot waits [X hours] for you to claim it. Inside [Y hours] of class, you have [Z minutes]. After that, it goes to the next person and you stay on the list.
  • Spots that open after [10pm] for classes before [9am] are offered at [7am].
  • Once you are in the class, our cancellation policy applies, including the late-cancel window. [Optional: the late-cancel fee is waived if you were promoted inside that window.]
  • Spots that open within [N minutes] of class start go to walk-ins at the door.
  • For reformer and equipment classes, one spot is one machine. We never book past the class capacity.

WHEN SOMEONE DISPUTES A PROMOTION

“The policy holds a spot for [X] and then offers it to the next person. It moved at [time]. Want me to keep you on Thursday’s list?”

“I got charged for a class I didn’t know I was in.”

“Auto-enroll is in the policy you saw when you joined the list. I’ll waive this one and note it on your account. Leaving the list before class keeps you clear next time.”

“Someone who joined after me got in.”

“The list runs in join order, [with members ahead of drop-ins]. Here’s the posted rule.”

Write your one-time courtesy rule down as well, so a favor for one member does not quietly become the policy.

WHERE THE POLICY LIVES

Post it where
members book.

  • On the class booking page, next to the waitlist button.
  • In the confirmation message when someone joins a list.
  • In the new-member packet with the waiver.
  • As a pinned link in your Instagram highlights or bio.

If it only lives on a terms page nobody opens, you will keep explaining it at the front counter.

CHECK YOUR SOFTWARE AGAINST IT

  • A list that runs in the order your policy states.
  • A held spot with a claim window you control.
  • A notice that reaches the member quickly when a spot opens.
  • Your cancellation rules applied the same way after a promotion.
  • A record of who was offered which spot, and when.
